What FleetReform records, when your location is shared, how long data is kept, and how to ask about it. Written for the people whose data it is - drivers included.
Who sets up your data
A FleetReform workspace belongs to a company. The company's administrators decide who is added, and managers enter driver details. If you use FleetReform through your employer, ask your employer about what they record and why. FleetReform is operated by Bytes Of (CVR 46709551).
What is recorded
- Account
- Name, email address, and avatar from sign-in.
- Driver profile
- Name, email address, phone number, license number, license class, and license expiry date, entered by a manager.
- Location
- Latitude, longitude, and time, recorded from the driver's phone while a trip is running.
- Operations
- Bookings, odometer readings, fuel and charging logs with cost, inspections, and maintenance requests.
- Photos
- Receipt photos and workspace logos.
- Audit log
- Who changed a record, what changed, and when.
- Device
- Push token and platform, so alerts can reach the mobile app.
When your location is shared
- Only while a trip is running in the driver app. It starts when you start the trip and stops when you end it.
- The app asks permission first, and shows "Location sharing on" the whole time. You can tap it to stop sharing. Stopping does not end your trip.
- Owners, Admins, and Fleet managers in your workspace can see the position of any vehicle. A driver sees only their own vehicle, and a Mechanic only vehicles that are in maintenance.
- Location history is deleted automatically after 90 days by default.
How long data is kept
- Location history: 90 days by default.
- License number, class, and expiry: removed 90 days after a driver profile is marked inactive. The rest of the profile stays so past bookings still show who drove.
- When a person's sign-in account is deleted, their driver profile is anonymized: name, email address, phone number, and license details are removed.
- When a company deletes its workspace, everything recorded for that workspace is deleted, including uploaded photos.
Getting a copy of workspace data
A workspace Owner or Admin can download a copy of everything recorded for the workspace from Settings, in a machine-readable file. A driver who wants a copy of what is recorded about them should ask their employer, or email support@tsunava.com.
Cookies and local storage
FleetReform uses only what it needs to work: your sign-in session, whether the sidebar is open, and your light or dark theme choice. FleetReform adds no advertising or analytics tracking to this site, the web app, or the mobile app. The mobile app sends crash reports, and the map and crash-reporting services receive the data described on the subprocessors page.
